What should I email parents before the first practice?
Send one short email tonight that does three jobs: introduces you as a fellow parent volunteer, states the season goal in one sentence (“every kid improves, plays, and wants to come back”), and gives logistics, day, time, place, what to bring. A template you can copy is below.
The template
Why each line earns its place
- “[Kid]’s mom/dad”, you’re one of them, which buys a season of patience.
- The goal sentence, it quietly sets that this team optimizes development, not trophies.
- The 24-hour rule, installed before there’s anything to complain about. Details in managing parents.
- The helper ask, stations need adults; recruiting in email beats begging at practice.
After this email
A three-line update each week (when, where, what we’re working on) keeps parents oriented all season. The full email kit, weekly updates, playing-time conversations, end-of-season thank-yous, is in the parent playbook.
Quick answers
When should I send it?
As soon as you have the roster, ideally 3–5 days before the first practice, with one short reminder the night before.
Should I use email or a group text?
Email for the season-setting messages (it’s findable later); text for day-of logistics like weather. Announce the split in this first email so parents know where to look.
What if I don’t have everyone’s contact info?
Ask your league coordinator for the roster export, and have a paper sign-up sheet at practice one for anyone missing. Don’t let perfect reach delay the send.
